Comparison

Should I outsource my NDIS back office or keep it in-house?

It depends less on cost than on whether anyone in your business can keep claims, payroll and records reconciled every month without it crowding out service delivery. In-house works when you have someone with the time and skill to do it properly. Outsourcing works when you want the routine run to a standard, with you still owning the decisions. Either way, you stay accountable for your registration.

What it depends on

  • The size of your participant base and workforce.
  • Whether someone in the business has the capacity and skill to run the routine.
  • Your registration groups and the records they require.
  • How much visibility you want to keep over the numbers.

Where judgement stays human: Deciding what to keep, what to hand over and what controls you need is a judgement about your business and your risk — the provider remains responsible to the NDIS Commission either way.

How this is actually worked

Ask the question the other way around: what is the real cost of the back office slipping? Claims that do not reconcile to delivered supports, award or super errors, and records that cannot be traced are what cause pain at audit — and those risks sit with the provider regardless of who does the work.

A useful test is to list the monthly tasks — claiming, reconciliation, payroll, super, record-keeping — and ask who does each one today, how long it takes, and how you would know if it went wrong. The gaps in that list usually answer the in-house or outsource question for you.
